Accounts Payable

Vendors

Vendors represent entities to whom your company owes money. They are used in Accounts Payable processes for managing payments and tracking liabilities.

Why it matters

Accountants and controllers use vendors to manage accounts payable, ensuring accurate record-keeping of invoices and payments. Deactivating or deleting unused vendors simplifies vendor lists and improves data accuracy; however, past transactions remain linked to inactive vendors, requiring careful reporting.

When you use it

  • Vendors can be duplicated from existing records for faster setup.
  • Inactive vendors are removed from standard dropdown menus but retain transaction history.
  • Deleting a vendor requires that it is not tied to any transactions or payments; otherwise, deactivate the vendor.
  • Deactivating a vendor does not impact 1099 reporting.
